GoHighLevel CRM in 2026: how it works and how I set mine up
Heads up: the trial buttons on this page use my affiliate link. If you sign up through it I get a commission. It doesn't cost you more.
The GoHighLevel CRM is where every contact, deal and conversation for a business lives, with unlimited contacts and users on every plan. You track deals in pipelines under Opportunities, keep notes and tasks on each one, segment people with tags and Smart Lists, and every message from SMS, email, Instagram, Facebook and WhatsApp lands in one inbox next to the record.
It's the CRM I run my agency on, and the one every client of mine gets in their own branded account. Below is how it's organized, what's in it as of October 2026, and exactly how I set mine up.
The video version
Short version
- 01Unlimited contacts and unlimited users on every plan, from $97 a month. Texts, emails, calls and AI are billed on usage (see Usage fees).
- 02Contacts sit in Opportunities, which move through stages in a Pipeline. Won and Lost stages are added for you.
- 032026 added custom objects, companies that fill themselves in, opportunity forecasting, and Smart Lists for deals and companies.
- 04Clients get their own sub-account and only ever see their own data, under your brand if you white label.
How is the GoHighLevel CRM organized?
HighLevel's own docs describe it as Contact, then Opportunity, then Pipeline, then Stage. A contact is a person. An opportunity is a potential deal with that person. A pipeline is your sales process, and stages are the steps in it. On top of that you get companies, and since 2026, custom objects for anything else you track.
| Record | What it is | Where it lives |
|---|---|---|
| Contacts | Every person: leads, customers, anyone who messaged you | Contacts |
| Opportunities | A deal with a value, attached to a contact | Opportunities |
| Pipelines and stages | Your sales process, step by step | Opportunities > Pipelines |
| Companies | Businesses, matched to contacts by name or email domain | Companies |
| Custom objects | Anything else: properties, pets, projects, policies | Settings > Objects |
| Tasks | Follow-ups with a due date, time and owner | Contacts > Tasks |

How I set up my pipeline
Go to Opportunities, then Pipelines, then Create new pipeline. Name it, add your stages, and HighLevel adds Won and Lost for you. Mine is basically new leads, hot leads, interested, and won, and I drag deals across as they move. HighLevel's own example uses New Lead, Hot Lead, Booked Call, No Show, Delayed and Closed, which is a good start for most local businesses.
If you're serious about your business and you've got a lead system, you have to track it. Leads will fall through the cracks and you will forget to follow up, especially once volume picks up. A lot of people keep it in their head, the notes app or Excel. You need a real pipeline.
Deals get in three ways: you add them by hand, you import a CSV, or a workflow creates them automatically with the Create Opportunity action, for example the moment someone books a call.
Notes and tasks: where deals actually close
Click into any deal and you can leave a note. Mine look like "he was interested but can't pay yet, follow up in 2 weeks". You will forget what happened, so write it down.
Then add a task: "Follow up on payment", with a due date and a due time, assigned to whoever owns the deal. Now there's no excuse, you get reminded. Tasks live under Contacts > Tasks, with Due Today, Overdue and Upcoming views, and workflows can create them for you.
The money is made in the follow-ups. A lot of people get the first objection and forget about the deal. If you stay on top of it, you close a lot more of them.
Tags, custom fields and Smart Lists
Tags are labels you put on contacts (new lead, past customer, webinar signup), and they can trigger workflows (see GoHighLevel workflows). Custom fields store anything the default fields don't, like a lead's budget or move-in date. They live under Settings > Custom Fields, with separate fields for contacts and for opportunities.
Smart Lists are saved filters that keep themselves up to date: everyone tagged past customer who hasn't booked in 90 days, for example. Make one under Contacts with "+ Add smart list". Since 2026 you can build Smart Lists for opportunities and companies too.
Does GoHighLevel have lead scoring?
Yes. It's called the Contact Engagement Score, under Settings > Manage Scoring. You write rules that add or take away points for things like opening an email, getting a tag or a field changing, and the score shows on the contact and in Conversations.
The Conversations inbox
The conversations tab is awesome. Every message to the business, SMS, email, Instagram, TikTok, Facebook, WhatsApp and live chat, comes into one place, attached to the contact. I have AI answering a lot of my Instagram DMs from there. HighLevel redesigned it in October 2026 with a four-panel layout and filters by tag, channel and owner.
What's new in the GoHighLevel CRM in 2026

Can my clients log in to the CRM?
Yes. Under your agency account, every client gets their own sub-account, and that's what they see: their contacts, their conversations, their website, their automations. You invite them under Settings > Staff and make them a user. A client in one sub-account can't see your account or any other client's.
With white label they log in at your domain with your logo. Mine say Hexona Systems, not HighLevel. That's on the $297 plan and up, where you also get unlimited sub-accounts. The full setup is in White label guide.
Where the GoHighLevel CRM is weaker
It's built for agencies and local service businesses. Big inside-sales teams with long, complex deal cycles and heavy reporting needs are who HubSpot and Salesforce are built for, and competitors make exactly that point about HighLevel.
There's also a lot of it. You don't need custom objects or engagement scoring on day one. Set up one pipeline, your tags and your follow-up tasks first.
Set it up in an afternoon
- 01
Create one pipeline
Opportunities > Pipelines > Create new pipeline. Four to six stages that match how you actually sell.
- 02
Add the custom fields you'll filter on
Settings > Custom Fields. Only what you'll use, like service type or budget.
- 03
Import your contacts
Contacts > Import Contacts. CSV only, up to 30 MB, and you can bring deals in the same file. Admin users only.
- 04
Make a follow-up Smart List
Everyone in a stage with no activity in two weeks. Check it every morning.
- 05
Automate deal creation
A workflow that creates an opportunity and a follow-up task the moment someone books or fills out a form.

FAQ
How many contacts can I have in GoHighLevel?
Unlimited, on every plan. HighLevel's pricing FAQ says all plans get unlimited contacts and unlimited users. Texts, emails, calls and AI are billed separately on usage.
Is GoHighLevel a good CRM?
For agencies and local service businesses it's what I use and what I'd pick, because the CRM sits in the same place as your booking, texting, automation and websites. For a big inside-sales team that lives on reporting, HubSpot or Salesforce is built more for you.
Can GoHighLevel replace HubSpot?
For a lot of small businesses and agencies, yes. HighLevel says most users replace their CRM, funnel builder, email tool, scheduler, SMS tool and review software with it. I didn't want to pay for HubSpot separately, and HighLevel's pipeline covers what I need. The side-by-side is in GoHighLevel vs HubSpot.
How do I import contacts into GoHighLevel?
Contacts > Import Contacts. It takes a CSV file up to 30 MB with a header row, each row needs a name, email or phone, and only admin users can import. You can import opportunities in the same file.
Does GoHighLevel have custom objects?
Yes, as of 2026. Set them up under Settings > Objects to track things like properties, pets or projects, and link them to contacts, companies and opportunities. There are industry templates in the template library.
Is there a GoHighLevel CRM mobile app?
Yes. The HighLevel and LeadConnector apps handle conversations, calls and Conversation AI. Agencies can also publish their own white-label app with a paid add-on.
How much does the GoHighLevel CRM cost?
It's included in every plan: $97, $297 or $497 a month as of October 2026, with a 30-day free trial through my link instead of the usual 14.
