GoHighLevel tutorial for beginners: the order to learn it in (2026)

Learn GoHighLevel in the order a real business uses it: understand agency vs sub-account, fill in the sub-account's business profile, get a phone number and start A2P on day one, connect an email sending domain, then build a calendar, a pipeline, a form and one workflow that ties them together. Only after that add AI, snapshots, white label and SaaS mode.

Most beginners do it backwards. They open the agency view, see a sidebar full of menu items, watch a 5-hour course and still have nothing working lol. Below is the sequence I'd follow in a brand new account, what each step looks like in HighLevel as of October 2026, which of my guides goes deeper on it, and the free HighLevel training worth your time.

The video version

Short version

  • 01Agency view is for you. Sub-accounts are what each business gets, including your own. Do almost all your learning inside a sub-account.
  • 02Start A2P registration on day one. It's the one step you can't rush, and texting doesn't work properly on US local numbers without it.
  • 03Calendar, pipeline, form, then one workflow that connects them. That's a working system, and it's the base for every AI build later.
  • 04Skip SaaS mode, custom objects, courses and ecommerce in week one. HighLevel Academy, LaunchPad and the free kickoff call cover the rest.

The order to learn GoHighLevel in

  1. 01

Get the account and pick the plan

The plans are $97, $297 and $497 a month as of October 31, 2026, with a 14-day trial (30 days through my link). If you want to white label it for clients, start on the $297 Unlimited plan. I'm on $497, but I don't think beginners need it.

  2. 02

    Understand agency vs sub-account

The agency view is your control panel for managing everything. Each business gets a sub-account, and that's what a client logs into. Create one sub-account for your own business first, then one for a client or a demo niche.

  3. 03

    Fill in the business profile

In the sub-account go to Settings > Business Profile: name, address, timezone, business information and the authorized representative. A2P asks for the same business details, so get them right before you buy a number.

  4. 04

Buy a number and start A2P

Settings > Phone System > Add Number. A US local number is $1.15 a month. Then start A2P 10DLC brand and campaign registration in the Trust Center the same day. Going deeper: my guide to using your own phone number.

  5. 05

    Connect an email sending domain

Settings > Email Services > Dedicated Domain and IP > Add Domain. Use a subdomain like lc.yourdomain.com, add the DNS records, click Verify Records, then set your From name and email.

  6. 06

    Build one booking calendar

Calendar > Calendar Settings > + New Calendar > Personal Booking. Set availability and reminders, connect Google Calendar, and book a test appointment yourself.

  7. 07

    Build one pipeline

Opportunities > Pipelines > Create New Pipeline, with four to six stages that match how the business sells. Going deeper: GoHighLevel CRM guide.

  8. 08

    Build one form

Sites > Forms > + Create New Form. Name, phone, email, one question. Every submission creates a contact, so submit it yourself and check the contact appears.

  9. 09

    Build your first workflow

Automation > Workflows. Form submitted, then a text, an email and a new opportunity in the pipeline. Then add missed call text back. Going deeper: GoHighLevel workflows and Missed call text back.

  10. 10

    Then add AI

Try Build using AI in Workflows, then one agent: a Conversation AI bot or an AI voice receptionist. Going deeper: my AI voice agent and AI appointment setter tutorials.

  11. 11

Then snapshots, white label and SaaS mode

Save your working sub-account as a snapshot so the next client starts from it. White label your domain before you invite clients in. Leave SaaS mode for last.

Why this order works

Every step leans on the one before it. Workflows need a form or a calendar to trigger them. The calendar needs a phone number and an email domain to send reminders. The phone number needs A2P to text reliably, and A2P needs the business profile filled in. Start at the top and nothing you build later breaks because something underneath it was never set up.

AI goes near the end on purpose. A voice agent books into a calendar, a chatbot moves people through a pipeline, and the Workflow AI builder builds around your tags, forms and pipelines. If those don't exist yet, there's nothing for the AI to work with.

Step 1: agency view vs sub-account

This trips up everyone at the start. At the very top you have your agency account, and that's only for you to manage everything: your clients, your plans, your settings. Underneath it are sub-accounts, and sub-accounts are what your clients actually receive and see. You're basically selling sub-accounts.

So you should have a sub-account for your own business, where your own contacts, conversations and automations live, and a separate sub-account for each client. A client in one sub-account can't see yours or anyone else's. You invite them under Settings > Staff once it's ready.

New in 2026: when you create a sub-account, HighLevel can ask whether it's "my client's account" or "my own account". Pick "my own account" for your agency's workspace. On the $297 and $497 plans, that agency sub-account is also where SaaS plans, rebilling and payment connections live, so it's worth getting right the first time.

Step 3: phone number and A2P, on day one

A2P 10DLC is the US carrier registration you need before you can text from a local number. It's the step people leave until last and then wait on, so start it the same day you buy the number. HighLevel's registration fee includes fast track processing, which it says is meant to get approval within 3 business days, but you can keep building everything else while you wait.

Costs as of October 31, 2026, from HighLevel's A2P pricing doc: a one-time $22.50 for Sole Proprietor or Low Volume Standard, or $64 for High Volume Standard, plus a monthly campaign fee ($2 for Sole Proprietor, $10 for standard use cases). These are pass-through fees from The Campaign Registry and the carriers.

If the business wants to keep the number it already has, read Use your own phone number before you buy anything. The biggest obstacle businesses have is they don't want to use a separate number. Agencies can also set default phone settings for every new sub-account under Agency Settings > Phone Integration.

ItemCostNote
US local number$1.15/monthSettings > Phone System > Add Number
US toll-free number$2.15/monthUses toll-free verification, not 10DLC
A2P Sole Proprietor$22.50 one-time + $2/month1 number, 3,000 segments a day
A2P Low Volume Standard$22.50 one-time + campaign feeMultiple numbers, 6,000 segments a day
A2P High Volume Standard$64 one-time + campaign feeUp to 600,000 segments a day

Step 4: connect an email sending domain

Before you send a single campaign, add a dedicated sending domain so your emails come from the business and land in the inbox. Go to Settings > Email Services > Dedicated Domain and IP > Add Domain and use a subdomain, like lc.yourdomain.com, so you don't touch the business's main mailbox. Add the DNS records HighLevel shows you at your registrar, click Verify Records, then use the 3 dot menu > Set Headers for the From name and email.

Old tutorials still tell beginners to connect Mailgun and Twilio first. You don't need either to get started. HighLevel's own LC Email and LC Phone are the defaults now.

Steps 5 to 7: calendar, pipeline, form

The calendar is super underrated. People see your availability, book themselves in, it syncs to Google Calendar, and it sends the confirmation and reminder texts and emails so you get fewer no-shows. You can also make people fill out a form or pay before they book. HighLevel's docs say you need a HighLevel booking calendar even if you live in Google Calendar, because that's where the booking rules are. Add yourself as a user under Settings > My Staff so you can be the host.

Then one pipeline under Opportunities > Pipelines. Keep it to the stages the business actually uses. How the CRM fits together, and how I run mine, is in my CRM guide, so I won't repeat it here.

Then one form under Sites > Forms. Keep it short, set the thank-you message, and do a test submission. If a contact doesn't show up in Contacts, fix that now, because every workflow you build next starts from it.

Step 8: your first workflow

Your first workflow should connect what you just built. Trigger: Form Submitted, for your form. Actions: send a text, send an email, create an opportunity in the first stage of your pipeline, and send the booking link. Publish it, then submit the form again from your phone and watch it run.

The second one should be missed call text back, because it's the easiest win to show any local business: someone calls, nobody answers, and they get a text back straight away. My workflows guide has the five automations I build for every client after that.

Step 9: then add AI

Once a lead can go from form to text to pipeline to booked, add AI on top. The fastest way in is the Workflow AI builder: under Automation, click Build using AI and describe what you want in plain English. In my video I asked it for a database reactivation campaign for a plumber and it wrote the emails, set the wait steps and even added a window so it doesn't text people outside work hours.

It's great, but a one-sentence prompt isn't enough to build something you'd hand to a client. You need more detail in the prompt, and you still read every step before you publish.

Then build one AI agent: an AI receptionist on the phone, or a Conversation AI bot on SMS, web chat and Instagram that books into your calendar. Without an AI plan they're pay per use. The AI Employee plans are $50 or $97 a month per sub-account as of October 31, 2026.

HighLevel Academy, LaunchPad and the free onboarding calls

HighLevel Academy is HighLevel's own training hub, launched in November 2025 at gohighlevel.com/academy. It has free on-demand courses and workshops, live challenges and Q&A sessions, case studies, and a paid certification track (the HighLevel Certification Program is listed at $97 a month on the pricing page as of October 31, 2026). The free courses are plenty for a beginner. The certification is for people who want to get hired as HighLevel admins.

LaunchPad is the checklist inside the app. Agency accounts created on or after June 5, 2025 get an Agency LaunchPad with short videos for each setup step, and a newer sub-account LaunchPad is rolling out to new agencies as a 50/50 test, so you may or may not see it.

The part most people miss is the calls. HighLevel's support doc says that in your first 14 days or trial you can book the Trial Experience Team at speakwith.us/kickoff, and in your first 90 as a paying customer the Success Team at speakwith.us/success. After that it's 24/7 live chat and Zoom support from inside the account, plus a daily demo, a daily Q&A and the official Facebook group. Book the kickoff call in week one and bring your questions.

If you want it from me, my free Skool community has a 5-day course that covers getting set up on HighLevel and the AI side.

How to practise without a client

Pick one niche, like plumbers or med spas, and build a full sub-account for a made-up business in it: profile, number, domain, calendar, pipeline, form, two workflows and one AI agent. That one account teaches you more than any course, and it becomes your demo and your first snapshot.

The trial is 14 days by default and 30 through my link, which is enough time to go through this list once properly. Usage like texts, calls and premium AI can be billed during the trial, so keep test messages to your own phone.

FAQ

How long does it take to learn GoHighLevel?

Long enough to get one sub-account working end to end is about a week if you follow the order above and build as you go. Most of the waiting is A2P approval, which is why you start it on day one.

What should I set up first in GoHighLevel?

Create a sub-account, fill in Settings > Business Profile, then buy a phone number and start A2P registration. Email domain, calendar, pipeline, forms and workflows come after that.

What's the difference between the agency account and a sub-account?

The agency account is for you to manage clients, plans and settings. A sub-account is the actual software a business uses: contacts, conversations, calendars, websites and automations. Each client gets their own and only sees theirs.

Is HighLevel Academy free?

The on-demand courses, workshops and live events are free. The HighLevel Certification Program is a paid add-on, listed at $97 a month on gohighlevel.com/pricing as of October 31, 2026.

Does HighLevel give you an onboarding call?

Yes. HighLevel's support doc points trial users to a kickoff call with the Trial Experience Team at speakwith.us/kickoff, and paying customers in their first 90 days to the Success Team at speakwith.us/success. Support is 24/7 by live chat and Zoom.

Do I need Twilio or Mailgun to start?

No. HighLevel's own LC Phone and LC Email work out of the box. You can still connect Twilio or Mailgun later if you have a reason to.

Should beginners use SaaS mode?

Not in the first week, and I wouldn't lead with it at all as a beginner. Learn to deliver one working sub-account first. My SaaS mode page explains why.
